This Privacy Policy explains how Brookside CXO ("Brookside CXO," "we," "us," or "our") collects, uses, discloses, and safeguards information in connection with this website and, at a general level, in connection with the insurance, bookkeeping and fractional CFO, payroll, and HR services we provide. It applies to visitors to this website and, where noted, to prospective and current clients and their personnel. It does not apply to information handled under a signed client engagement agreement, which is governed by that agreement's own confidentiality and data-handling terms.

Information We Collect

When you browse this website, we may automatically collect standard technical information, including your IP address, browser and device type, pages viewed, referring page, and approximate location derived from your IP address, generally through cookies, pixels, and similar tracking technologies (see "Cookies & Analytics" below). When you submit the contact form, request a call, or otherwise reach out directly, we collect the information you provide, which may include your name, company name, job title, email address, phone number, and the content of your message.

We may also obtain business contact information, such as name, job title, company, work email, and business phone number, from third-party data providers such as Apollo.io, and use it for business outreach relevant to our services. If you receive email from us, HubSpot records whether it was opened and which links were clicked. You can opt out of our outreach and marketing emails at any time using the unsubscribe link in any email or the contact details in "Legal Contact" below.

In the course of an active engagement, and separately from this website, Brookside CXO may handle a broader set of information on a client's behalf in order to deliver bookkeeping, fractional CFO, payroll, HR, and insurance/benefits brokerage services. This can include financial account and transaction records; payroll data such as employee names, Social Security numbers, bank account and direct deposit details, and wage and tax information; HR records such as employment history and benefits elections; and, where relevant to a benefits or workers' compensation matter, limited health information submitted in connection with obtaining or servicing insurance coverage. This engagement-level data is governed by the applicable signed engagement agreement and any related confidentiality or data-handling terms, not by this website's Privacy Policy.

How We Use Information

We use information collected through this website to respond to inquiries, schedule and prepare for consultations, operate and maintain this website, and understand how the site is used so we can improve it. Information collected in the course of a client engagement is used to perform the contracted services, meet legal, tax, and regulatory recordkeeping obligations, and communicate with clients and their personnel about their accounts.

We retain website inquiry information for up to three years after our last contact with you, or as needed to comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods for engagement-level client, payroll, and HR records are set out in the applicable engagement agreement and generally follow the recordkeeping periods required by federal and California tax, wage, labor, and insurance law.

Cookies & Analytics

This website uses cookies in four categories: necessary cookies, which the site needs to work (for example, to remember your cookie choices and send the contact form); analytics cookies, which show us how visitors use the site, through HubSpot; functionality cookies, which remember choices you make; and advertising and sales cookies, including Apollo.io, which helps our team identify businesses that visit the site so we can follow up. Only necessary cookies are used until you make a choice in the cookie banner. You can accept, decline, or choose by category, and change your choice at any time with Cookie Settings, also at the bottom of every page. If your browser sends a Global Privacy Control (GPC) signal, we treat it as declining all non-essential cookies. You can also block or delete cookies in your browser settings.

Contact Form and Spam Protection

The contact form is provided by HubSpot, which stores what you submit in our customer records. It is protected by Google reCAPTCHA, which checks for spam using information about your device and how you interact with the page. Google's Privacy Policy and Terms of Service apply.

Your Privacy Choices

Depending on where you live, you may have the right to opt out of certain uses of your information. Brookside CXO does not sell personal information for money. To the extent any cookie-based advertising or analytics activity is considered a "sale" or "share" under California law, you may opt out by using Cookie Settings at the bottom of any page, by contacting us using the information in "Legal Contact" below, or by turning on Global Privacy Control (GPC) in your browser.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you certain rights regarding personal information collected about you, including California-based employees, job applicants, and independent contractors of Brookside CXO. In the preceding 12 months, we have collected the following categories of personal information as defined by the CCPA: identifiers (such as name, email, and phone number); commercial information; internet or other electronic network activity information; professional or employment-related information; and, in connection with insurance, payroll, and HR engagements, financial information and limited sensitive personal information (such as government identifiers and, where applicable, health information).

Subject to certain exceptions, California residents have the right to: know what personal information we have collected, used, disclosed, and (where applicable) sold or shared, and the sources, purposes, and categories of third parties involved; delete personal information we have collected, subject to certain exceptions; correct inaccurate personal information; opt out of the sale or sharing of personal information (Brookside CXO does not sell personal information and does not knowingly share it for cross-context behavioral advertising beyond the analytics/advertising cookies described above); limit the use and disclosure of sensitive personal information to what is necessary to provide the services requested; request data portability, in a portable and, to the extent feasible, readily usable format; and non-discrimination for exercising any of these rights.

We will verify your request using information you have already provided and may ask for additional information solely to verify identity. We will respond within 45 days of a verifiable request, with one 45-day extension where reasonably necessary, and you may appeal a denied request using the same contact methods.

Other U.S. State Privacy Rights

Residents of other states with comprehensive consumer privacy laws currently in effect or scheduled to take effect (for example, Virginia, Colorado, Connecticut, Utah, and others) may have similar rights to know, access, correct, delete, and port their personal information, and to opt out of certain processing, including targeted advertising and, where applicable, profiling. Requests can be submitted using the contact methods in "Legal Contact" below and will be handled consistent with the requirements of the applicable state law.

Employee & Client-Personnel Data

This Privacy Policy also covers personal information we collect about Brookside CXO's own job applicants and employees in the ordinary course of employment, used for recruiting, employment administration, and legal compliance. Separately, when Brookside CXO provides payroll, HR, or benefits brokerage services to a client, we process personal information about that client's own employees strictly on the client's behalf and instruction, as described in "Information We Collect" above. Employees of a Brookside CXO client with questions about their own payroll, benefits, or HR data should contact their employer directly in the first instance.

Financial Information

In providing bookkeeping, fractional CFO, and payroll services, Brookside CXO may collect nonpublic personal financial information about clients and, where relevant, their personnel, such as bank account numbers, transaction history, and income and tax information. We do not sell this information. We may share it with service providers who help us deliver the services (such as payroll processing platforms, accounting software providers, and financial institutions), with a client's own accountant, attorney, or other advisor at the client's direction, and where required by law or regulation. We restrict access to personnel and service providers who need it to do their jobs and maintain safeguards consistent with applicable federal and California standards for protecting nonpublic personal financial information.

Insurance Disclosures

Brookside CXO's insurance services are provided through producers licensed by the California Department of Insurance, and licensed in other states where required for the business transacted. For license numbers, please email hello@brooksidecxo.com. In connection with placing or servicing insurance coverage, we collect information necessary to obtain quotes and bind or service a policy, which we share with the insurance carriers, wholesalers, and underwriters involved, and, where applicable, with the National Insurance Producer Registry and state insurance regulators as required by law. Brookside CXO may receive commissions or fees from carriers in connection with policies placed on a client's behalf; additional detail is available on request. A quote or discussion of coverage on this website, by phone, or by email is not a binder of insurance, and no coverage is effective until confirmed in writing by the applicable carrier.

Data Security

We maintain administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure, appropriate to the sensitivity of the information involved. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. In the event of a breach affecting personal information in a manner requiring notice under California or other applicable law, we will notify affected individuals and any required regulators within the timeframes those laws require.

Sharing and Disclosure

We do not sell personal information. We may share information with: service providers who perform functions on our behalf under confidentiality obligations, such as HubSpot (website hosting, forms, and customer records), Google reCAPTCHA (spam protection), Apollo.io (identifying businesses that visit the site, only if you allow advertising and sales cookies), and email, scheduling, payroll processing, and accounting platforms; our own professional advisors; insurance carriers and underwriters in connection with placing or servicing coverage; regulators, tax authorities, and law enforcement where required by law, subpoena, or valid legal process; and a successor entity in connection with a merger, acquisition, or sale of assets, subject to the protections described in this policy. Third-Party Links

This website may link to third-party sites, including insurance carrier portals, payroll platforms, and social media. We are not responsible for the privacy practices of those sites, and we encourage you to review their own privacy policies.

Children's Privacy

This website is intended for business audiences and is not directed to, and does not knowingly collect personal information from, children under 13. If we learn that we have inadvertently collected information from a child under 13, we will delete it.
